Moving a Parent Into Senior Living — A Practical Checklist

Once the decision has been made and the community has been chosen, the logistics of actually moving a parent into senior living begin. This phase involves more moving parts than most families anticipate — legal, financial, medical, and practical tasks that all need to happen in roughly the right sequence.

This checklist is a starting point. Every family's situation is different, and some items may not apply. But working through this list systematically prevents the kind of overlooked details that create problems later.

Legal and Financial Tasks

Review and update legal documents.

• Confirm that a current durable power of attorney for finances is in place, naming the appropriate person
• Confirm that a healthcare proxy or medical power of attorney is in place
• Ensure the living will or advance directive is current and reflects your parent's current wishes
• Make sure the attorney-in-fact (person holding power of attorney) has copies of all relevant documents

Notify financial institutions.

• Arrange for pension, Social Security, and other income to be deposited to the correct account
• Update billing addresses for credit cards, utilities, and subscriptions
• Cancel services no longer needed — landline phone, cable, newspaper delivery, lawn care, housekeeping

Review insurance coverage.

• Contact Medicare and any supplemental insurance to update the address of record
• Review what the community's services include and what will be billed to insurance
• If there is a long-term care insurance policy, notify the insurer and begin the claims process if applicable

Understand the move-in financial requirements.

• Confirm the first month's fee and any required deposit
• Understand the billing cycle and payment method
• Get written confirmation of what is included in the monthly fee

Medical Coordination

Transfer medical records.

• Request records from the primary care physician, all specialists, and any recent hospitalizations
• Deliver copies to the senior living community's nursing staff before or on move-in day
• Bring a current medication list with dosages, prescribing physicians, and pharmacy information

Arrange medication management.

• Confirm how medications will be managed by the community
• Transfer prescriptions to a pharmacy that works with the community if required
• Bring a supply of current medications for the first few days

Schedule care assessment.

• Most communities conduct a formal care assessment before or shortly after move-in
• Prepare a written summary of your parent's daily routine, preferences, medical history, and care needs to share with staff
• Include information about what helps your parent feel calm and what triggers distress

Notify existing physicians.

• Inform the primary care physician and specialists of the new address and community
• Ask whether they will continue to see your parent or whether a community-affiliated physician will provide primary care
• Arrange for the first appointment with whatever physician will be responsible for ongoing care

Practical Moving Tasks

Determine what to bring.

• Measure the room or apartment and plan furniture that will fit and function in the space
• Prioritize meaningful personal items — photographs, familiar furniture, cherished objects
• Label everything with your parent's name before it arrives at the community

Handle the family home.

• If the home will be sold, engage a real estate agent and begin the process
• If the home will be kept temporarily, arrange for ongoing maintenance and utilities
• Sort belongings carefully — some items will go to the community, some to family members, some to donation or disposal
• Give family members the opportunity to take meaningful items before anything is disposed of

Set up the new space.

• Arrive before your parent if possible to arrange the room with familiar items
• Hang photographs, place familiar objects, and make the space feel as personal as possible before your parent sees it for the first time
• Bring comfort items — a favorite blanket, a familiar pillow, a beloved plant

The First Days and Weeks

Plan your visit schedule thoughtfully.

• Visit frequently in the first week to support adjustment
• After the first week, give your parent the opportunity to engage with the community by not visiting every single day
• Coordinate with siblings or other family members to spread visits rather than clustering them

Communicate with staff.

• Introduce yourself to the primary caregivers responsible for your parent's unit
• Share your parent's history, preferences, and personality — the things the care assessment may not fully capture
• Establish your preferred method of communication and how you would like to be notified of changes

Watch for signs of adjustment versus genuine distress.

• Some adjustment difficulty in the first weeks is completely normal
• Persistent and severe distress — refusal to eat, extreme agitation, significant depression — warrants a conversation with staff and potentially the community's social worker or physician
• Ask staff how your parent is doing between your visits

Handle outstanding home tasks.

• Cancel or transfer utilities, insurance, and subscriptions connected to the family home
• Forward mail to the new address or to a family member managing financial affairs
• Return library books, rental equipment, or other borrowed items

A Note on Timing

The move itself is often overwhelming for the senior and exhausting for the family. Plan for it to take longer than expected. Plan for emotions — your own and your parent's — to be unpredictable. Plan for things to go wrong in small ways.

The goal of the moving day is simply to get your parent settled with their most important belongings, introduced to their primary caregivers, and through the first meal. Everything else can be resolved in the days that follow.

Be patient with your parent. Be patient with yourself. This is one of the harder things families go through together, and the fact that you are doing it carefully and thoughtfully matters.
